Situation: Membership Fundraising at Leading Non-profit Organization
Critical Issue: Organization is having difficulty locating and capturing information which is stored in numerous different areas of the business. The process to capture, store and recover data related to recurring gifts is either non-existent or entirely too lengthy and time consuming. The process directly reflects on the members’ ability to donate thereby hampering the overall member experience and preventing maximum donation dollars.
Reasons: As many as 5 vendors handle different donor data, and information passes through several stages before being uploaded into the donor database, at which point, only the donor name & address and immediate gift amount are entered into the donor database, leaving all other pledge information to be stored separately by different vendors depending on the channel of acquisition and pledge preference.
Vision: To analyze the business needs of the organization with regard to the capture, storage and recovery of data related to recurring gifts and a recommendation of a new process, while conforming to the current fundraising management system. The customer needed to enhance their fundraising and reporting capabilities, as well as improve the member experience.
AETEA Provided: AETEA worked closely with the organization to identify and define the business objectives, analyze the existing systems and document and interview key business personnel and functional experts. Upon final completion of the Requirements process, AETEA created a detailed Business System Plan for the organization outlining all system requirements, proposed solution vision, tools/products, costs and business benefits.
Results: AETEA delivered a comprehensive set of detailed system requirements and solutions roadmap based on an extensive requirements analysis process. AETEA sucessfully understood the organization's business needs and was able to recommend solutions that were both viable from a technology and process perspective. Additionally, AETEA touched all levels of the organization to receive maxim buy-in from the key stakeholders and project governance.
